Author Guidelines

1. Scope and submission process

EJHBS publishes original, peer-reviewed research in all areas of health and biomedical sciences. All manuscripts must be submitted through our Online Submission System. Note: While e-mail submissions are accepted during technical transitions (EJHBS@uog.edu.et), the online portal is the preferred route for tracking.

2. Manuscript preparation and double-blind compliance

To ensure an unbiased review, EJHBS uses a double-blind peer review process. Authors must submit the following separate files:

Title page: Contains the title of the article, author names (with affiliations), and the corresponding author’s email and ORCID IDs (if available).

Main manuscript: Submit as a Word document (.doc or .docx) formatted in Times New Roman (12 pt), A4 page size, 1.5-line spacing throughout, and continuous line and page numbering. This single file should be organized logically and include the title, structured abstract (maximum 300 words), keywords (3–5), introduction, materials and methods, results (with tables and figures embedded), discussion, acknowledgments, declarations, authors' contributions, and references. The manuscript must be anonymized and should not include author names, affiliations, or any identifying information.

Cover letter to the Editor-in-Chief: The corresponding author must confirm that the manuscript is original and not under consideration elsewhere, that all authors have approved the final version and meet the ICMJE authorship criteria, and that all conflicts of interest and institutional affiliations have been fully disclosed.

Ethical approval document: Provide official ethical clearance from the relevant institutional review board or ethics committee.
Conflict of interest declaration: Submit a completed disclosure form for all authors, if not included in the manuscript.
Supplementary materials (Optional): Include any additional supporting data, tables, figures, or methodological details.

All files must be clearly labeled using the format: manuscript title_corresponding author name.

3. Institutional neutrality 

In accordance with our commitment to editorial independence, manuscripts submitted by authors from the University of Gondar are managed via a strict "Firewall" protocol. These papers are assigned to external editors and reviewed by experts outside the host institution to ensure objective evaluation and prevent institutional bias.

4. Research integrity and plagiarism policy

EJHBS maintains a zero-tolerance policy for plagiarism.

  • All manuscripts are screened for originality. A similarity index exceeding 20% (excluding common terminology and references) may result in immediate rejection.
  • Authors must state that the study received Institutional Review Board (IRB) approval. Research involving human subjects must comply with the Declaration of Helsinki.

5. Tables, Figures, and Nomenclature

  • Tables and figures should be placed in their respective positions within the text, not at the end.
  • Figures must be high-resolution (300 dpi) and legible.
  • Use standard international codes for biological names (italics) and Chemical Abstracts for compounds. Use only standard abbreviations; define them at first use.

6. References (Vancouver Style)

Follow the Vancouver referencing style, numbered sequentially, and formatted correctly. References must be numbered in the order they appear in the text using parentheses, e.g., (1).

8. Ethical approval and consent to participate

Ethical approval of research involving human participants

  • Our policy is to ensure that all articles published by EJHBS report on work that is morally acceptable and expect authors to follow the World Medical Association’s Declaration of Helsinki. To achieve this, we aim to appraise the ethical aspects of any submitted work that involves human participants, whatever descriptive label is given to that work, including research, audit, and sometimes debate.
  • Statement of Ethics Approval
    We require every research article submitted to include a statement that the study obtained ethics approval (or a statement that it was not required and why), including the name of the ethics committee(s) or institutional review board(s), the number/ID of the approval(s), and a statement that participants gave informed consent before taking part. You are responsible for obtaining ethical approval for your research prospectively. 
  • In addition, we welcome detailed explanations of how investigators and authors have considered and justified the ethical and moral basis of their work. If such detail does not easily fit into the manuscript, please provide it in the covering letter or upload it as a supplemental file when submitting the article. 

Ethical approval of research involving animals
All material published in EJHBS, which reports experiments performed using animals, must adhere to high ethical standards concerning animal welfare. Manuscripts will be considered for publication only if the work:  

  • follows international, national and institutional guidelines for the humane treatment of animals and complies with relevant legislation; 
  • has been approved by the ethics review committee at the institution or practice at which the studies were conducted (where such a committee exists)

9. Consent for publication

Not applicable. (Or: Written informed consent was obtained from the patient for publication of this case report and any accompanying images.)

10. Availability of data and materials

The datasets generated and/or analyzed during the current study are available from the corresponding author on reasonable request. (Or: All data generated or analyzed during this study are included in this published article.)

11. Competing interests

The authors declare that they have no known competing financial interests or personal relationships that could have appeared to influence the work reported in this paper.

12. Funding

13. Authors' contribution Statement 

A contributorship statement is required for every article submitted and should outline who has contributed what to the planning, conduct, and reporting of the work described in the article. Researchers must determine among themselves the precise nature of each person’s contribution, and we encourage open discussion among all participants to reach a consensus.

Submissions must specify the contribution of every author using CRediT (Contributor Roles Taxonomy) roles by the following format:

All authors have read and agreed to the published version of the manuscript. Not all roles will apply to every manuscript, and some authors may contribute through multiple roles. All individuals named in the contributorship statement must give permission to be included, as readers may infer their endorsement of the data and conclusions of the paper. It is the responsibility of the submitting author to ensure that permission is obtained and to be able to provide evidence of this if required.

14. Acknowledgments

An acknowledgements statement may be included at the end of the paper, detailing those who helped in carrying out the research but who have not been recognized as contributors, as well as for personal expressions of gratitude.

Because acknowledgment may imply endorsement by acknowledged individuals of a study’s data and conclusions, authors are strongly advised to obtain permission to be acknowledged from all acknowledged individuals before submitting.

Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items. Submissions that do not adhere to these guidelines may be returned to authors for technical correction.

  1. The manuscript complies fully with the Author Guidelines, including the use of Vancouver style for references and the IMRAD structure for original research.
  2. The submission is original, has not been published previously, and is not under consideration by another journal. The authors acknowledge that the manuscript will be screened for plagiarism and must fall below the 15% similarity threshold.
  3. The manuscript includes a statement confirming Institutional Review Board (IRB) approval and that informed consent was obtained for studies involving human subjects.
  4. The main manuscript file is completely anonymized. All author names, institutional identifiers, and specific acknowledgments have been removed to facilitate a fair blind peer review.
  5. A separate title page has been uploaded containing the full manuscript title, all author names and affiliations, ORCID iDs for all authors (to ensure international indexing accuracy), and the corresponding author’s contact details.
  6. Authors from the University of Gondar acknowledge that their manuscript will be managed by an external editor and reviewed by independent experts outside the university system.
  7. The file is in Microsoft Word (.doc/.docx) format, 1.5-line spacing, 12-point Times New Roman font, with consecutive line numbers to assist reviewers.
  8. Tables and figures are high-resolution (300 dpi), embedded in the text at appropriate locations, and carry concise, descriptive titles/legends.

EJHBS is committed to protecting the privacy of authors, reviewers, readers, and all visitors to our website. This Privacy Statement outlines how we collect, use, store, and protect personal information in accordance with international publishing standards and ethical guidelines.

Information we collect

We may collect and process the following types of information:

  • Authors: Names, institutional affiliations, email addresses, ORCID iDs, funding information, and manuscript details.
  • Reviewers: Names, contact details, institutional affiliations, and review reports.
  • Readers and visitors: Limited data such as IP addresses, browser type, access times, and pages viewed (for analytics purposes only).
  • Subscribers: Names and email addresses for receiving journal alerts and updates.

Use of information

Collected information is used only for purposes directly related to the journal, including the following:

  • Processing, reviewing, and publishing manuscripts.
  • Communicating with authors, reviewers, and editorial board members.
  • Improving website performance and accessibility.
  • Providing journal updates and newsletters to subscribers (opt-in only).

We will never sell, rent, or share personal data with third parties for commercial purposes.

Data storage and security

  • Personal information is stored securely on servers managed by the University of Gondar or trusted partners.
  • Access is restricted to authorized editorial staff.
  • Reasonable technical and organizational measures are in place to protect data from unauthorized access, loss, or misuse.

Cookies and analytics

The EJHBS website may use cookies and analytics tools to enhance user experience and monitor usage patterns. Users may disable cookies in their browser settings, though this may limit certain website functions.

Third-party services

The journal may use trusted third-party services (e.g., indexing databases, plagiarism detection tools, manuscript submission systems). Personal information is shared with such services only as necessary to support editorial and publishing functions.

Retention of data

  • Author and reviewer information is retained as part of the permanent scholarly record.
  • Subscriber and website visitor data are kept only as long as needed for communication and analysis.
  • Individuals may request deletion of their subscriber information at any time.

Rights of individuals

Users have the right to:

  • Access the personal data we hold about them.
  • Request corrections or updates to their information.
  • Withdraw consent for receiving newsletters or alerts.
  • Request deletion of personal data where legally permissible.
